VPCA BOARD OF DIRECTORS
POSITION DESCRIPTIONS
The VPCA Board of Directors is composed of nine members, including a president who is elected by the Board. Below are descriptions of the duties of each of the Board members, as written by the 2009 - 2010 members of the Board:

1) Serve as liaison between the Parent Coordinators of the Swim Team and the board,
Presents issues both ways to ensure a successful
swim season.
2) Serve as liaison between Nancy Nichols, Venetian Summer Camp coordinator and the board, presenting arising issues either way to ensure a safe, successful and productive camp sessions
3) Oversee the implementation of Pre-Season and Extended Swim sessions, working with the Venetian manager with staffing, swimmer fees and pool
availability.
No special abilities are required for this position beyond keen communication skills and attention to detail.
This position is particularly active in the months preceding the opening of the pool.
FACILITIES
Individual is responsible for managing all construction activities, buildings and
facilities repairs, and long term facilities maintenance. The individual is the liaison between the board and construction contractors, pool maintenance company (as it applies to repairs of the pool), architects, et al. Activities and skills necessary include project management, contract negotiation, handyman repairs (as needed), and a general understanding of the construction process. Time requirements for this position typically peak in March and April in preparation for opening day. Minor repairs will need to be completed during the swim season and will require a limited time commitment. Ability to meet with people onsite during general working hours is important.
COMMUNICATIONS/SECRETARY
This position is responsible for most of the communication between the Board and the membership by writing and editing E Splash newsletters and numerous emails throughout the year. Must learn to use the website to create and send emails. Will work closely with webmaster.
All emails addressed to communications@venetianpools.org, info@venetianpools.org, and news@venetianpools.org are received by this position and either answered or forwarded to the appropriate board member for response.
Prepares agendas for each Board meeting and distributes at the meeting.
Takes minutes at Board meetings and emails them to the other Board members.
In Spring, updates Calling Post data by removing names and numbers of members who have left the pool and adding new members’ names and numbers.
Administers annual Board election by creating nomination forms, contacting nominees to make sure they will serve, creating and emailing ballots, collecting and tabulating ballots and informing winners and losers of election.
This position takes a lot of time throughout the year, but, if you like to write and are creative, it’s very rewarding.
GROUNDS
The Grounds responsibility on the Venetian Board includes upkeep and planning for the natural space around the pool. You provide oversight and direction to a lawn and tree contractor regarding year-round monthly maintenance of the grounds, spring clean-up work and special landscape improvement projects. Your late spring and summer responsibility includes upkeep of planted pots around the pool and the training and oversight of Junior Guards in summer watering duties. You are responsible for an approximately $10,000 component of the pool budget. This position includes some year-round responsibilities with the majority of your work occurring in Spring and early Summer
MEMBERSHIP
Main obligation: answer emails sent to you by Patricia Blumberg who is paid to manage the waiting list and will consult with you on minor questions. Major decisions regarding individual memberships will be discussed at board meetings.
THIS RESPONSIBILITY PEAKS IN MARCH (SPRING) -- SEVERAL EMAILS A WEEK.
Main obligation: Be present to co-lead new member orientation meetings with Pool manager at the beginning of the season.
Represent members as a whole, greet new members at the pool.
PERSONNEL
Acts as liaison between Board and Management for matters concerning personnel
Works with management to develop procedures for working with personnel or handling personnel issues
Aids management in setting up in-service trainings as needed
Consults with management on issues where management needs counsel to handler situations.
Mentors management when necessary
Heads up an “employee appreciation” picnic
Acquaints new board member for personnel with responsibilities during his/her first year in that position
Assures contract with management is offered and returned to Board
Works with president, facilities, and manager to assure pool closing is complete in October
Time commitment is minimal October-February. March and April involves some work with management for the application process. May has 3 staff trainings that can be attended by the personnel director. May-September requires availability to discuss or e-mail with management about issues that arise or for other duties as described above.
SOCIAL
The Social Chairperson of the Venetian Pools Board works with the Venetian pool manager and staff to organize and coordinate social activities during the summer season. Social activities include: the new members welcome, the wine tasting and grilling demonstration, Friday movie nights in June, July 4th, and the August Luau. Traditionally a Fourth of July committee has coordinated July 4th activities along with the pool manager..
TREASURER
The Treasurer for Venetian Pool Board of Directors has charge of all the funds of VPCA. The Treasurer is responsible for keeping and maintaining adequate and correct accounts of VPCA’s properties and business transactions and gives reports and accountings to the Directors and Members of VPCA as required by law or the Articles of Incorporation and By-Laws of VPCA. To execute these duties the Treasurer works with VPCA’s bookkeeper, accountant and insurance agent”

A Medical Emergency at the Pool
A member had a personal medical emergency while swimming laps at the Pool on Friday evening (7/16). Staff & members worked together to save the teenager's life. The member is recovering and is now back at home.
The family expresses its gratitude to staff and members who quickly responded to the emergency. They want to pass on to the Pool community that the staff and members at the Pool "did everything right," and the emergency care saved their child's life.
The Pool staff is currently reviewing safety procedures and physical set-up at the Pool to see if there are areas that can be improved for the safety of all. The Board & management will get back to members soon if changes (improvements) are made.
As a Pool community, we always need to be alert in watching out for the safety of each other as well as supporting our guarding staff.

Financial and Capital Improvements update
Financial Update
Ordinarily the treasurer sends out an update on the previous year’s financial results in March as we are getting ready for the pool opening. Unfortunately that was derailed this spring when we had our facilities “issues.” But more on that later...
Venetian finished 2009 in good shape. Of the $74,000 in net income generated we used 25% for renovations on the men’s locker room and the remainder was put into savings. As it turned out that was a very good thing because in the first six months of 2010 we have had the following expenses:
- $28,000 on capital improvements, including pump and backwash valve replacement, balance tank repairs, and an engineering assessment on the dance hall;
- $ 7,000 in repairs on the snack bar, plumbing in the locker rooms, and repainting the office;
- $10,000 in new pool deck furniture and umbrellas which have just arrived – Many thanks to our grounds chairperson, Todd Hill, for helping to select this nice furniture, and for getting us his designer discount.
Some of these investments/repairs were planned and some were not! We have also spent time working on the operations side of the pool. We put our pool maintenance contract out for bid and we did a complete insurance review. I want to thank David Cherry, a Venetian member, who was able to increase and expand our insurance coverage while decreasing our insurance costs by $5,000! THANK YOU DAVID! I also want to thank the members of the Ways and Means Committee who have been working with me since late last year to review our finances and consider ways to fund ongoing maintenance and new projects. They are: Christine Carlton, Flip Hager, Bryan Jackson, and Bo Vaden. Many thanks!
Facilities / Capital Review
As many of you know, our surge tank pipe seals failed early this spring, causing our primary pool pump and motor, which were quite old, to become submerged during our preliminary opening. This subsequently caused the pump to fail. We immediately ordered a new, 25hp motor and primary pump replacement to be custom made and it arrived just in time to get the pool open that last week in May.
We also upgraded the surge tank’s pipe seals, our backwash valve and piping and purchased an upgraded main strainer pot. As further insurance, we also installed a sump pump to pump out any surge tank leaks that may occur in the future.
In addition to multiple other maintenance and repair projects around the property we were had our well’s water quality tested and the results were excellent. A full report is available in the office.
Future Capital Planning
Our primary pool, baby pool, pump house, and bath houses were created in 1991 from previous structures on the property. Most of the equipment and infrastructure is now 20 years old and in need of replacement. The board is developing a capital plan to help us prioritize the best uses of our association’s current and future expected capital. Here is a summary of capital items we are either monitoring for or planning on replacing / upgrading over the next few years:
· Primary Sand Filter Our existing sand filter was installed in 1991, is corroding, and needs to be replaced;
· Gutter Replacement Since our main pool walls have settled in certain areas, our existing gutter system is not only drastically inefficient, it is functionally obsolete. Prior to replastering the pool’s floor and walls for the next decade, a replacement of the existing gutter system is being reviewed;
· Pool Floor & Wall Replastering Our existing plaster, installed in 2001, is beginning to fail. The pool’s floor and walls will need to be replastered in the next 2-3 years;
· Playground & Parking We are also beginning to explore options to better utilize the property located behind the bath houses- some options include expanding the playscape areas and/or the parking lot;
· Deck Furniture Replacement As many of you know, the pool deck furniture has been great for many years, but is now badly in need of replacement. Please take a look at the new sample furniture on the back deck which has just arrived. We need to phase in a replacement of our existing furniture with this newer, better designed, updated furniture.
While all of these projects will require a lot of capital, time, and effort over the next few years, that investment will modernize the pool’s infrastructure, and improve the look and feel of the pool for the future. As a local community association, we are very fortunate to enjoy such a large, beautiful pool with mature trees and plantings that create a wonderful summer retreat. Make no mistake- what we have is in high demand (as evidenced by our membership’s long wait-list), but we need to make the necessary replacements and upgrades every so many years to keep our Venetian Pools positioned well for the future.

Swim Team Champions!
SWIM TEAM NEWS
This year we had over 221 Swim Team and Starfish participants representing approximately 150 VPCA families. The team was 4-1 (W-L) in the dual meet season.
140 swimmers competed at the DeKalb County Championship meet.
Venetian finished 1st of 20 teams, for the 5th year, with a team score of 2057, followed closely by Emory Clairmont - 1917. Emory was the only team to beat Venetian in the dual meet season (by a mere 3 points). The 140 margin was only .007% of the total points awarded in the meet. Venetian, the underdogs, had outstanding performances in a very strategic line-up.

Pool updates and policies
Work Day Guest Passes are available at the front desk. They are located in a shoe box under the counter to your right (guard's left)
DO NOT BRING GLASS TO THE POOL:
-A glass breakage could close our pool for up to 1 week and cost more than $20,000 to clean up.
-New Policy $50 "clean-up" fee for glass breaks on the deck or in the dance hall
Things that are GLASS that you might not think of:

Checking In at the Front Desk
ALL MEMBERS are required to show either their key tag or a picture id to enter the pool every time - NO EXCEPTIONS! We will be enforcing the $10 replacement fee for key tags this year, so please keep track of your tags.
The guards who operate the check-in do not know who you are, so please work with them to make the check-in process a smooth operation.
The Board of Venetian has worked hard to make sure this summer is an enjoyable experience for all members. Please come and join your fellow members and have fun!
